Begin with the arrival you are planning

If a meeting, check-in or event sets the timing, tell the team when you want to arrive. Discuss departure planning without treating an estimated journey duration as a guarantee. Conditions vary, and longer routes need enough flexibility for the actual travel day.

Stops and belongings

Include any collection, break or appointment along the route. Explain how much time you expect at a stop and whether guests join or leave the party there. For an overnight stay, provide the luggage count and any return requirements. Choosing the vehicle is easier when the enquiry describes the whole journey.

A one-way transfer or a longer arrangement

A later return journey should have its own date, time and pickup address. Do not assume a vehicle will remain available at the destination after the outward transfer. If your plans involve travel at the destination, explain that requirement separately so the team can confirm what can be arranged.
